They’re non-negotiable. As organizations embrace AI and digital transformation, it’s essential to ground innovation in a framework that respects GMP principles and adheres to required regulations and best practices, including 21 CFR Part 11, Annex 11, Annex 22, GAMP5, GAMP Artificial Intelligence Guide and ALCOA+. But here’s the challenge: AI is new. It’s not a traditional software platform, and unlike validated spreadsheets or legacy (Laboratory Information Management Systems) LIMS, it often comes with unknowns. That’s why AI literacy (understanding what AI *is*, what it *does*, and how it impacts GxP systems) is emerging as a mission-critical competency for IT, Business and Quality leaders. One department’s “AI solution” may be another’s “automated script.” ### **Challenges:** - Inconsistent use of AI-related terminology across teams - Misalignment between technical implementation and quality oversight - Delays in review cycles due to misunderstanding of AI terms ### **Best Practice:** Establish a cross-functional AI glossary that is incorporated into: - Onboarding and refresher training - Quality and IT documentation templates - Project kickoffs and change control forms Standardized AI language will set the foundation for consistent understanding, whether you’re presenting to auditors, onboarding a new engineer, or mapping AI usage in GxP systems. ## **2. Develop Mapping and Use Case Processes** AI must be purpose-built. Without clear processes for identifying *where*, *why, and how* AI is used, projects may drift, validation will become harder and unknown risks may become a downstream issue lacking appropriate mitigation, and ultimately end users may lose trust. Model cards can be powerful tools to drive transparency, especially during cross-functional reviews. ### **Challenges:** - Lack of clarity around the “why” behind AI use - AI tools used inconsistently across departments - Difficulties aligning AI behavior to GxP requirements ### **Best Practice:** - Create repeatable frameworks for AI use case development - Mandate model cards for all AI tools that impact GxP data or decision making - Ensure AI usage is mapped to existing processes and reflected in SOPs ## **3. Design Training Around Roles, Not Just Tools** Not every employee needs to understand the inner workings of a random forest model, but every employee needs to understand how AI affects *their role*. Blanket training wastes time and can lead to disengagement. Instead, segment training into levels: - **Executive Awareness**: What AI is, regulatory risk exposure, strategic opportunities - **Operational Literacy**: Use case validation, change management, data integrity impact (ideal for IT and Quality leads) - **Technical Depth**: Algorithm behavior, dataset handling, mitigation strategies for bias or drift (for developers and system architects) ### **Challenges:** - AI training that is either too technical or too shallow - Decision-makers lacking confidence in AI due to their understanding of the technology - Technical teams uncertain about GxP expectations of AI implementations ### **Best Practice:** - Conduct a training needs analysis based on team function - Assign AI learning tiers by job role, but make all additional training available to learners so that they can continue to learn (beyond what is mandatory) - Reinforce learning through change controls and system lifecycle documentation ## **4. Create AI-Critical Communication Pathways Early** AI implementation isn’t a one-and-done event. It evolves. Models may drift. Teams experiment. If there’s no way to flag emerging concerns, small issues become major compliance blockers. ### **Challenges:** - Silence during implementation phases - Delayed escalation of usability or compliance concerns - Cross-functional miscommunication ### **Best Practice:** - Set up “office hours” for AI-related questions - Use actively monitored feedback forms and internal huddles - Appoint AI Champions in both IT and Quality to bridge functions The earlier you build real-time communication pathways, the more proactive you can be when addressing risk and ensuring ALCOA+ principles are upheld. ## **5. Normalize “I Don’t Know” in Implementation and Adoption Phases** AI’s black-box reputation can make people nervous, especially in highly regulated environments. The worst outcome?
